The best business advice is often the simplest. When Kaaren Hall first heard of CardScan, she was 35,000 feet above the Arizona desert. Seated next to a bank Vice President, Kaaren asked her seat mate for suggestions on how to make her mortgage company grow. How to turn over 6,100 names into a network.
Kaaren has always been a superb networker. She belongs to many organizations and meets new realtors, insurance people, bankers, financial advisors and property buyers and sellers literally every day. But like most busy professionals, she never had an easy-to-use, accurate, surefire system for maintaining the contact information she accumulates.
Once she had her CardScan, Kaaren set about scanning the thousands of cards she already had - which went surprisingly fast since each card only takes about five seconds. As she went, Kaaren developed her own unique Categories that allow her to identify where and when she met each contact. She says having this kind of information instantly accessible goes a long way in fostering a budding relationship.
CardScan allows Kaaren to respond quickly to new opportunities. Once she loads a new contact's information, follow-up is immediate and automatic. And she doesn't lose track of past contacts, either: CardScan keeps her information current and prints labels for her marketing pieces as well as generating email targeted to specific audiences.

Kaaren uses Categories to recall where and when she met someone.
Here’s how it’s done: |

Upon returning from a conference, scan all cards collected. |
|

Choose Batch mode > Categories > Add and name and date the
category for the conference where you met that group of people. |
|

| |

Now whenever you look up a contact, your category will identify
where and when you met that person. Or you can choose Categories
and see all the people you met at that conference. |

Access = Success
Because her day is spent on the go, Kaaren must have access to all her information no matter where she is. And she needs to be sure that the information is correct, all the time. To accomplish that, she depends on four things - her PDA, her CardScan Executive, CardScan At Your Service(TM) and its updating service.
First she syncs her CardScan with her PDA, so the information is always with her.
Then she uses At Your Service (which is free with her CardScan) to request that her contacts update their information and to make sure they have her current information as well.
And she backs up all her CardScan files to CardScan At Your Serivce so that if anything ever happens to the files on her PC or PDA, she can still access all her information using any browser and her password.
So no matter where she goes and no matter who she meets, Kaaren has virtually instant access to all her contacts. This was especially handy when she traveled to China and Europe recently.

From the CardScan software menu, choose File > Data Exchange > Wizard and the CardScan software will walk you through setting up synchronization with your PDA. |

Red checks, green checks.
Kaaren takes the whole concept of building relationships to a level most of us can only admire. For example, when a request is made for someone to update their contact information, At Your Service uses a green check mark to indicate who has responded and a red check mark to indicate who has not. When Kaaren sees a red check mark, she immediately calls or emails that person to touch base. She always mentions that she has requested an update and reinforces her desire to stay in touch. Now that's working at a relationship!

From the CardScan software menu, choose At Your Service > Sign in > Sign up to create a free account. |

Save your file to CardScan At Your Service. |
|

Log in to your CardScan At Your Service account and choose Preferences. |
